Responsibilities
Job Summary
The Controlled Substance Diversion Prevention Nurse Coordinator supports the organization by implementing and monitoring diversion of controlled substances across the health system. This position collaborates with internal stakeholders to monitor, evaluate, and enhance controlled substance diversion programs, and supports the development and implementation of policies, procedures, and educational initiatives related to controlled substance management.
Responsibilities and Essential Job Functions
- Program Administration
- Support the Program Manager in strategic planning, project management, and performance tracking of controlled substance diversion prevention initiatives across the pharmacy enterprise.
- Work collectively with operational leaders to ensure proper controlled substance diversion prevention processes are implemented and maintained
- Maintain program documentation, dashboards, and reports to communicate progress, metrics, and outcomes to appropriate leadership and committees.
- Coordinate and facilitate meetings, agendas, and communications related to controlled substance diversion prevention efforts.
- Collaborate with operational leaders across the health system to educate and audit on all diversion prevention policies and regulations, and report to pharmacy leadership and regulatory bodies as required.
- Monitor and audit controlled substance transactions, inventory records, invoice reconciliation, and dispensing practices to identify potential diversion risks across the health system.
- Participates in policy/procedure development pertaining to drug diversion and controlled substances across the health system.
- Coordinates timely completion and reporting of significant loss via DEA106 to DEA and Board of Pharmacy
- Coordinates timely completion of reporting of any controlled substance destruction via DEA41.
- Diversion Prevention
- Collaborates with departments, clinics, and procedural areas to implement effective diversion prevention and effective controls are in place for the purchasing, receiving, distribution, administration, wasting, and return of controlled substances.
- Coordinate diversion prevention initiatives, including risk assessments, surveillance activities, and investigations of suspected diversion incidents.
- Maintain and analyze data related to controlled substance usage, discrepancies, and trends to identify areas of concern.
- Collaborate with healthcare leadership, HR, and Risk Management during investigations of potential controlled substance diversion and ensure appropriate documentation and follow-up.
- Acts as primary investigator for suspicious behavior identified via controlled substance monitoring software.
- Assists with monitoring of all controlled substance discrepancies within automated dispensing devices and ensures proper reporting to pharmacy leadership and Pharmacist in Charge across the pharmacy enterprise.
- Assist with monitoring and responding to Drug Diversion Response Team (DDRT) inquiries and investigations.
- Education & Training
- Assist in the development and delivery of training programs for pharmacy staff and other healthcare professionals on controlled substance handling, compliance, and diversion awareness.
- Assist in the education of all controlled substance related policies and regulations.
- Assist in the development of end user training related to controlled substance use within automated dispensing cabinets and anesthesia work stations.
- Perform rounding and shadowing of healthcare employees to improve efficiencies and reduce controlled substance diversion risks across the pharmacy enterprise.
- Maintain training records and ensure timely completion of required education modules.
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
- Bachelor Degree Nursing in Nursing
- 2 or more years experience in hospital nursing AND
- 2 or more years Familiarity with electronic health records (EHR) and automated dispensing systems AND
- Knowledge of DEA regulations, controlled substance laws, and healthcare compliance standards. AND
Preferred Education and Experience
- Master Degree Nursing in Nursing OR
- Master's Degree in Pharmacy OR
- Master Health Care Management in Health Care Administration
Required Licensure and Certification
- Licensed Registered Nurse (LRN) - Single State - State Board of Nursing upon Hire
Knowledge Requirements
- Proficient in Microsoft Excel, Word & PowerPoint.
- Arrives at decision using analytical thought.
- Must be highly organized and accountable
- Manages a comprehensive surveillance, auditing, investigation, and education program designed to detect diversion of controlled substances.
- Establishment of project management structures, and generate ideas, assign and coordinate tasks across departmental and hospital wide work groups.
- Advises managers by conducting training programs and consultations.
